We know you’re eager to try out the new InspiredByYou website (We like to call it “InspiredByYou 2.0”!) and we’re excited for you to see it! Before making the switch, those of you using the old InspiredByYou.com (meaning you already have client sessions, images, or contracts visible online) need to complete the set-up process before upgrading to the new version! Completing the setup will help ensure your clients have a seamless transition to the new site.
If you’re a current user, please be aware of the fact that after February 1st 2021, your transaction fee rate will be at 5% to match all other users – which is still significantly lower than our competitors! Granting the longer 3% timeframe is our gift to you for being a long-time InspiredByYou.com user.
Important Note for New Users to InspiredByYou.com : This checklist is only for those who currently utilize InspiredByYou.com currently and have client information and images on the site. If you do NOT use the old site, please go to the New Users section.
Initial Set-up #
Below are the most important settings you need to set up or review beforehand to ensure a smooth transition to InspiredByYou for your clients. Some settings can be done after the upgrade process.
1. Statuses and other miscellaneous items #

We have some new features that will track guest clients who’ve signed up via InspiredByYou, including which client referred them (think sharing guest links, posts to social networking sites), and some new trigger features driven by the statuses you setup here, so we recommend you review your existing items. Client Statuses – Add a new Client Status to be used when a Guest Client wants to purchase images from another Client’s Session (Maintenance > Client > Client Statuses). This will be used on the new record created for that Guest. For more information on Client Statuses, click here. Lead Source – Add a new Lead Source to automatically be added to any Guest Client created. This can provide info on how many new clients have purchased from other clients’ Sessions, and how many of those booked a session (Maintenance > Client > Lead Source). For more information on Lead Sources, click here. Session Types – Any Session Type used on InspiredByYou.com must have a Web Price List selected and a Default Duration Online number of days set. This will automatically set the Web Expire Date on any Session that gets uploaded. (Maintenance > Session > Session Types). For more information on Session Types, click here. Session Statuses – Add a new Session Status for when a Session is ready for upload to InspiredByYou, or use one of the already existing ones. (Maintenance > Session > Session Statuses). Next, Create a Status that notes the Session has successfully uploaded to InspiredbyYou. Once a session is in that status, it will be ready to show online. – and be sure to check the box “Show Online”. Since the images are now uploaded to the stratus drive, flagging this box will allow them to be seen online. Finally, create a session status for when the upload may fail (ie. “Upload Failed”). You’ll be using these Statuses in step 6 below. For more information on Session Statuses, click here. Invoice Statuses – If you’d like clients to be able to see where their order is in the process, add an Online Description to existing Invoices Statuses or add new Invoice Status and add an Online Description (Maintenance > Invoice > Invoice Statuses). If you plan on offering clients Prepaid orders and then adding the images to that order via InspiredByYou, add a new status to be used on those invoices once they’ve been submitted back by your client. 2. Online Portal Preferences #

| In the new version, we’ve combined all online-based settings into a single preferences menu. If you use our Online Booking, Web Forms, or Client Referral Program tools, this menu will already be mostly set up. If you’d like a walk-through of all the tabs to review your settings, click here.
Maintenance > Preferences > Online Portal Preferences General tab – If you use Online Booking or Web Forms, this will display the login information already set for your clients. This will be your client’s new login to InspiredByYou.com. If you do not use Online Booking or Web Forms, we recommend setting your new login options to Client Number and Client Last Name. While this won’t match your current InspiredByYou site, it will eliminate future problems on the new site., Click Set for Existing Users Now to have the software create the new logins for all existing clients. Images tab – Your Logo should have transferred over, but you may want to take advantage of this opportunity to update it. If you choose to update your logo, the image should be 250 pixels wide by 125 pixels tall. If you wish to set a Background Image for your InspiredByYou web page, it should be 2000 pixels wide by 1500 pixels tall. Help tab – Add your phone number and email address to be seen by clients, in case they need help. In addition, if you want to integrate with Provide Support® – which allows you to provide chat help for your clients – add the Provide Support Graphic Button Code and your Provide Support Link. 3. InspiredByYou.com Preferences #

| After your online portal is set up, head over to Maintenance > Preferences > InspiredByYou.com Preferences menu. Start on the Company tab.
Most of your settings from the previous InspiredByYou.com site should have already transferred over to the new menu. However, now’s a great time to review and potentially change your existing settings for the new site. For a full walk-through of these preferences, click here. 4. New Shipping Method Options – you are currently using the Simple Shipping Method #

| Your existing Shipping Methods are still there, and we’ve set the default for you to use the Simple Shipping method. However, there are two new methods to process shipping fees for your customers. To set yours up, go to Maintenance > Preferences > InspiredByYou.com Preferences > Shipping. If you want a full walk-through of Shipping Methods, click here.
First, decide which method will work for your studio in the Shipping Charge Method drop down and follow the matching instructions to set it up (Click the method you’d like to use to view its instructions).
Simple Shipping – Recommended #
Free Shipping Threshold: All shipping methods have an option for a free shipping threshold (“Spend $300 to get free shipping!”). Enter the desired invoice total for the system to automatically provide free shipping. If you do not wish to offer free shipping online, leave this field blank (setting this field to $0 will give all invoices free shipping).
Subtotal shipping #

5. Update your InspiredByYou Price List #

| Almost there! The new InspiredByYou.com site is fully integrated with your price list settings in Stratus! Meaning you can now offer our full price list functionality online – including coupons and promo codes, marketing images of products, biggest sellers etc. to make your products more enticing to clients! If you’d like a sampling of marketing images that you can freely use, download and extract this file. While this step is quite simple, it can take some time to set up your price list for the new system. However, with the nearly instantaneous synchronization of Stratus to InspiredByYou, you don’t have to enable every one of these new features now. This can can be done after you complete the upgrade. Double-click a Price List and check the box “Click here to enable Price Lists for InspiredByYou.com“
Individual Price List Items – Expand an Item group, and double-click an Item.
1. Go to the InspiredbyYou.com tab
2. Go to the Related Items tab – Use this tab to select any other price list items that you want to market with this item. For example, ‘display a matching size frame for all prints of X size’. Alternatively, choose to show other sizes of the same product. Selections here will appear in a Related Items section online.

6. Set your Sessions to show online #

| We’ll take care of moving your existing clients on InspiredByYou.com over to the new site! Going forward, the software no longer relies on an “InspiredByYou.com Sync” process – instead, we display images online based simply on whether they’ve been synced to the Stratus Drive, and you have the other steps set up to “tell” us if and when you want them displayed.
During the upgrade process, we’ll take your existing InspiredByYou Session Upload job located at Utilities > Control Center and convert it to a new Stratus Drive Image Upload job. This means your current workflow to determine when a session is ready to display online can stay the same! Even though there’s no set-up involved on this step, if you’d like to learn how the new sync process works (and how to change it in the future), click here. If you do not already use the InspiredByYou Session Upload Control Center job, you can complete the steps outlined on the Syncing Sessions to show the online page. *Remember, we will move over existing clients to the new InspiredByYou.com site for you. You do not need to have the new Control Center job set up before upgrading to the new site. |
All Done? Time to Upgrade! #
*Remember to check your work! You can view a sample of your website before it’s officially live! Find the link to the sample in Maintenance > Preferences > InspiredByYou.com Preferences on the General tab, look for the link above the button “Upgrade now to the new InspiredByYou.com”.
Get ready to click that button! Head over to Maintenance > Preferences > InspiredByYou.com Preferences. The first tab has the button Upgrade now to the new InspiredByYou.com. If you’ve completed this checklist, go ahead and click the button to proceed with the upgrade.
After you’ve successfully completed your upgrade to InspiredByYou 2.0, you can now go back and set up any additional features for the new site! See Additional Set-up.
